Why templates matter
Most businesses send a handful of emails over and over. Writing them once, carefully, saves time and makes sure every customer gets a clear, consistent answer.
The seven to start with
Start with these and adapt them to your business:
- New enquiry reply: thank them, answer the basics, suggest a next step
- Quote or price list: what's included, how long it's valid, how to accept
- Booking or appointment confirmation: date, time, location and what to bring
- Follow-up: a friendly nudge on a quote with no reply
- Payment reminder: polite, with the amount, due date and how to pay
- Thank you and review request: after the job is done
- Out of office or holiday notice: when you're back and who to contact
Make them personal
Use placeholders for names, dates and details, and always read a template through before sending. A template is a starting point, not a robot.
