How to write a professional email signature

What to include, what to leave out and how to keep the team consistent.

What to include

Keep it short and useful. A good business signature usually has:

  • Your name and job title
  • Your company name
  • One phone number and your website
  • A registered company number and address, if you're a limited company

What to leave out

Skip inspirational quotes, several phone numbers, large images and long legal disclaimers. Big images are often blocked or arrive as attachments, which makes your emails look like spam.

UK company details

UK limited companies must show their registered name, number, place of registration and registered office address on business emails. A signature line is the simplest way to cover this.

Keep the whole team consistent

Use one shared design and keep company details in one place. In Orbis Mail, organisation settings hold the shared details and each person keeps their own default signature.
